This website

This website does not use cookies, analytics or advertising trackers, and it has no forms. Our hosting provider, Amazon Web Services, keeps standard server logs (such as IP address and the page requested) to deliver the site and keep it secure.

When you contact us

If you email us, we use your name, email address and the content of your message to reply to you and to keep a record of the conversation. Our lawful basis is our legitimate interest in answering enquiries, or taking steps towards a contract if you are asking about our products. We keep these emails for up to two years after the conversation ends, unless they form part of a customer record.

Our customers

If your organisation buys our products, we use the business contact details of the people we deal with to provide the service, send invoices and give support. Our lawful basis is the performance of our contract with your organisation. Card payments are handled by Stripe; we do not see or store full card numbers.

Ground Planner apps and platform

Organisations that use Ground Planner (including its web app and its Android and iPhone apps) decide what information about their members and volunteers is stored. For that information the organisation is the data controller and we are its data processor. We only process it on the organisation's written instructions, under a data processing agreement, and we store it in the Amazon Web Services London region.

If you are a member or volunteer of one of those organisations, please contact the organisation first about your data. Each organisation publishes its own privacy notice. We will help the organisation answer your request.

Who we share data with

We use these service providers to run our business:

We do not sell personal data, and we do not share it for advertising.

Your rights

Under UK data protection law you have the right to access your personal data, to have it corrected or deleted, to restrict or object to its use, and to data portability. To use any of these rights, email us. If you are unhappy with how we use your data, you can complain to the Information Commissioner's Office at ico.org.uk.

We will update this page if the way we use personal data changes. The date at the top shows when it last changed.
